Visa Information for International Participants

Participants attending the 4th International Summit on Robotics, Artificial Intelligence & Machine Learning (ISRAI2027) in Milan, Italy (April 26–27, 2027) may require a visa to enter Italy depending on their nationality.

Italy is part of the Schengen Area; therefore, most international participants will need to apply for a Schengen Short-Stay Visa (Type C) if they plan to stay in Italy for up to 90 days within a 180-day period.

This visa allows participants to attend professional activities such as international conferences, seminars, and meetings in Italy.

1. Do You Need a Visa?

Italy is a member of the Schengen Agreement. Depending on your nationality, you may need a Schengen Visa (Type C) to attend the summit for a stay of up to 90 days.

  • EU/EFTA Citizens: Do not require a visa; a valid national ID or passport is sufficient.

  • Visa-Exempt Countries: Citizens of countries like the USA, Canada, UK, Australia, and Japan typically do not need a visa for short stays but must hold a valid passport.

  • Other Nationalities: Most participants from Asia, Africa, and parts of South America will require a visa. Please check the Official Italian Visa (Il visto per l'Italia) website to confirm your requirements.

2. How to Apply

We recommend starting your visa application at least 3–4 months before the summit. You can submit your application at the Italian Embassy or Consulate in your country of residence, or via their authorized partner (e.g., VFS Global or TLScontact).

3. Key Documents Required:

  • Valid Passport: Must be valid for at least 3 months beyond your intended stay and issued within the last 10 years.

  • Visa Application Form: Duly filled and signed.

  • Two Passport Photos: Meeting ICAO standards (white background, recent).

  • Official Invitation Letter: Provided by ISRAI2027.

  • Flight Itinerary: Round-trip flight reservation.

4. How to Request an Invitation Letter

To support your visa application, the ISRAI2027 organizing committee can provide an official Invitation Letter.

Please note:

  • Invitation letters will only be issued to registered and paid delegates.

  • The letter does not guarantee a visa; the final decision rests solely with the Italian authorities.

  • The conference will not cover any visa-related fees or expenses.

To request your letter:

  1. Complete your conference registration.

  2. Email us at [israi2027@spectrumconferences.com] with your full name (as in passport), date of birth, passport number, and institution.

5. Processing Time

  • Apply at least 3 months before your travel date.

  • Priority/Super Priority services are available for urgent cases (additional fees apply).

6. Visa Fees

  • Standard Visa Fee: Approximately €90 (for adults). This fee is non-refundable.

Important Note: Participants are responsible for their own visa arrangements. We strongly advise against booking non-refundable flights until your visa is granted.

7. Tips for a Successful Application

  • Apply early to avoid delays.

  • Ensure all documents are in English or include certified translations.

  • Clearly state your purpose of visit (e.g., conference participation).

  • Provide biometrics (fingerprints/photos) at a Visa Application Center if required.

  • The conference organizers do not handle visa applications or guarantee approval.

  • Always verify requirements with your local Italian embassy/consulate.
